UMC Utrecht is facing major transformative challenges. The organization is currently undergoing renovation, digitalization, and restructuring of its organization and work processes.
The Care of Tomorrow program is developing smart solutions to work more efficiently. We provide support in the areas of communication and implementation to realize these changes.
Our solution:
Co-creation
To successfully support the transformations within UMC Utrecht, cooperation with all parties involved is essential. As change communication advisors, we are part of the communication team and liaise with program and transition managers. We support management and identify communication needs among design teams consisting of UMC Utrecht employees and patients. In this way, we help them, as ambassadors, to guide the organization through the change.
Once the plans are in place and the design sprints have been completed, our project leaders/managers ensure that projects are properly implemented within the organization. We continue to work closely with project teams, leadership teams, and departments where we run pilots and roll out projects. By continuously gathering feedback and immediately incorporating improvements, we ensure that the change is supported and successful.
AI-solutions
One example of our contribution is the implementation of AI solutions in the hospital, such as systems that automatically generate discharge letters and reduce the administrative workload. We have also used an AI model to identify and approach patients with an increased risk of no-shows. In the first three months of the project, we have already found 200 people who had forgotten they had an appointment, and we have rescheduled their appointments. This project ensures that patients receive the care they deserve on time, that healthcare capacity is better utilized, and that waiting lists are reduced. Initial results show a reduction in the number of no-shows of +/- 30%.
Interactive museum
To inform and engage more than 12,000 colleagues in the new plans and projects of UMC Utrecht, we provide clear change communication. As one of the expressions created within our communication approach, we have set up an interactive exhibition space. Here, colleagues, students, and patients are taken on an inspiring journey through the changes.

“Working with colleagues from Frisse Blikken, who are often between 20 and 30 years old, really brings a different dynamic. It's great to see how this energy blends into the team.”
